rkindl is a product of Integrant Advisory, LLC, a Florida limited liability company. In this Privacy Policy, "we," "us," and "our" refer to rkindl. rkindl ("Service") is an autonomous AI inside sales agent for real estate. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service, including any related applications, websites, and services that link to this Privacy Policy (collectively, the "Platform").

Please read this Privacy Policy carefully. If you do not agree with our policies and practices, please do not use our Platform. By accessing and using rkindl, you acknowledge that you have read, understood, and agree to be bound by all the terms of this Privacy Policy.

1. Information We Collect

1.1 Lead Information

When real estate leads are submitted to rkindl through CRM platforms (including Zillow Premier Agent, Follow Up Boss, BoomTown, kvCORE, and others) or direct API integrations, we collect and store the following lead information:

Full name
Phone number (normalized to E.164 format)
Email address
Property interests and search criteria
Budget and timeline information
Source platform and lead origin data
Timestamp of lead submission

1.2 Conversation History

We collect and store all SMS conversations between leads and our Service, including:

Full text of all SMS messages sent and received
Timestamps of each message
Conversation context and thread information
AI-generated responses and analysis
BANT scoring data (Budget, Authority, Need, Timeline)
Lead classification (Hot, Warm, Cold, Unqualified)

1.3 Realtor Client Information

When you set up an account as a realtor client to use rkindl, we may collect:

Business name and contact information
Email address and phone number
Timezone and location information
Subscription plan type (Starter, Growth, Pro)
CRM integration credentials and configuration data
Custom SMS templates and preferences

1.4 Usage and Observability Data

We collect technical data to operate and improve our Service, including:

API request logs and response times
Webhook delivery success/failure data
AI model performance metrics
System error logs and debugging information
Usage analytics (leads processed, SMS sent/received counts)

2. How We Use Your Information

We use the information we collect for the following purposes:

Service Delivery: To operate rkindl, process leads, send SMS messages via Twilio, qualify leads using AI, and manage nurture sequences on behalf of realtor clients.
AI Processing: To provide Claude AI (Anthropic) with conversation context and lead data so the Service can generate personalized, contextual responses to leads in real-time.
Conversation Management: To read and store full conversation history, enabling stateful AI agents that understand the full journey of each lead before responding.
Lead Analysis and Reporting: To perform BANT qualification, classify leads, generate weekly narrative HTML reports for realtor clients, and track lead metrics and performance over time.
Service Improvement: To analyze how our Service performs, identify issues, optimize response times, and improve the quality of AI-generated responses.
Observability and Monitoring: To track system health, debug issues, and maintain service reliability via Langfuse observability platform.
Multi-Tenancy Management: To segment data by realtor client, ensure proper lead routing, and maintain billing accuracy for different subscription tiers.

3. Third-Party Service Providers

rkindl uses the following third-party services to deliver the Service. Your data may be shared with or processed by these providers:

Twilio (SMS Delivery)

We use Twilio to send and receive SMS messages. Lead phone numbers and SMS message content are transmitted to Twilio's servers. Twilio processes this data according to their privacy policy: https://www.twilio.com/en-us/legal/privacy

Resend (Email Delivery)

We use Resend to deliver weekly narrative reports and transactional emails to realtor clients. Email addresses and report content are transmitted to Resend's servers. Resend processes this data according to their privacy policy: https://resend.com/legal/privacy

Anthropic (Claude AI)

We use Anthropic's Claude AI API to process conversations and generate responses. Lead names, property interests, conversation history, and context data are transmitted to Anthropic's servers for AI processing. Anthropic processes this data according to their privacy and terms of service: https://www.anthropic.com/legal/privacy. We do not use lead data to train or fine-tune Claude models.

Railway.app (Hosting)

rkindl is hosted on Railway.app, a cloud infrastructure provider. Your data is stored and processed on Railway's servers. Railway processes this data according to their privacy policy: https://railway.app/legal/privacy

Langfuse (Observability)

We use Langfuse (self-hosted) to monitor system health, track AI model performance, and debug issues. API logs and performance metrics are sent to our Langfuse instance. Langfuse processes this data according to their privacy policy: https://langfuse.com/privacy

PostgreSQL Database

All lead data, conversation history, and system information is stored in a PostgreSQL 15 database. This database is secured with industry-standard encryption and access controls.

We are not responsible for the privacy practices of third-party providers. We encourage you to review their privacy policies to understand how they handle your information.

4. Data Retention

We retain information for as long as necessary to provide the Service and fulfill the purposes outlined in this Privacy Policy:

Lead and Conversation Data: Retained for the duration of your subscription plus 90 days after account cancellation. This allows you to export historical data and enables us to investigate issues. After 90 days, data is deleted.
Audit Logs: System audit logs and immutable event records are retained for 1 year for compliance and security purposes.
Realtor Client Account Data: Retained for the duration of your subscription. You may request deletion at any time by contacting hello@rkindl.com.
Observability Data: Performance metrics and technical logs are retained for 90 days for operational purposes, then deleted.

You may request deletion of your data at any time by contacting us at hello@rkindl.com. We will honor deletion requests within 30 days, except where retention is required by law.

5. TCPA Compliance and SMS Consent

rkindl complies with the Telephone Consumer Protection Act (TCPA) and applicable SMS regulations. The following practices ensure compliance:

Lead Consent

You are responsible for ensuring that all leads sent to rkindl have provided prior express written consent to receive SMS communications. This consent typically comes through the CRM platform where the lead was originally submitted (e.g., Zillow, Follow Up Boss). rkindl assumes that all leads received via our webhook integrations have been properly consented by the realtor client.

STOP Keyword Compliance

Leads can opt out of SMS communications by replying "STOP" to any message. rkindl automatically processes STOP requests and adds the phone number to an opt-out list. No further SMS messages will be sent to that number. Compliance with STOP requests is maintained in our database and monitored for regulatory adherence.

CMS Integration Responsibility

When using CMS integrations (Zillow, Follow Up Boss, BoomTown, etc.), the realtor client is responsible for ensuring all leads in the CRM have proper SMS consent. rkindl acts as a service provider on behalf of the realtor client and does not independently verify consent.

Message Content

rkindl uses AI to generate personalized SMS responses. All messages include clear context that they are from the realtor's business and provide a method for leads to opt out.

6. Your Rights and Choices

Depending on your location and relationship with rkindl, you may have the following rights:

Right to Access: You have the right to access your personal information. Contact hello@rkindl.com to request a copy of data we hold about you.
Right to Deletion: You have the right to request deletion of your personal information. We will delete your data within 30 days, except where retention is required by law or contract.
Right to Rectification: You have the right to correct inaccurate information. Contact hello@rkindl.com to request corrections to your account data.
Right to Opt-Out of SMS: Leads can opt out of SMS communications by replying "STOP" to any message. Realtor clients can pause rkindl's SMS functionality in their account settings.
Right to Export Data: You have the right to receive a copy of your data in a portable, machine-readable format.
Right to Withdraw Consent: If rkindl relies on your consent to process data, you have the right to withdraw that consent at any time by contacting hello@rkindl.com.

7. Data Security

We take data security seriously and implement industry-standard measures to protect your information:

Encryption in Transit: All data transmitted to and from rkindl is encrypted using HTTPS (TLS 1.2+).
Encryption at Rest: Sensitive data in our PostgreSQL database is encrypted at rest.
Access Controls: Data access is restricted to authorized personnel and services on a need-to-know basis.
Authentication: Realtor client accounts are protected by secure authentication mechanisms. Webhook integrations use unique tokens (wh_*) to prevent unauthorized access.
Regular Security Reviews: We conduct regular security audits and updates to maintain platform security.
No Password Storage in Webhooks: We do not request or store CRM passwords. Webhook tokens are the only required authentication.

While we implement industry-standard security measures, no system is 100% secure. We encourage you to use strong passwords and keep your account information confidential.

8. Cookies and Tracking Technologies

rkindl's static marketing website (where you are viewing this page) does not currently use cookies or tracking technologies. Our Service API does not use cookies.

If we implement cookies in the future, we will update this Privacy Policy and provide you with the option to accept or decline cookies. We do not use or permit third-party tracking cookies, analytics cookies, or advertising cookies.

9. Children's Privacy

rkindl is not intended for use by individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided us with personal information, we will delete such information and terminate the child's use of the Service.

10. International Data Transfers

rkindl is hosted on Railway.app in the United States. If you are located outside the United States, your information will be transferred to, stored in, and processed in the United States. By using rkindl, you consent to the transfer of your information to the United States.

If you are an EU resident, we process data in accordance with the General Data Protection Regulation (GDPR). If you are a California resident, we process data in accordance with the California Consumer Privacy Act (CCPA). 11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. We will notify you of material changes by updating the "Last Updated" date and, where appropriate, by sending you an email notification. Your continued use of rkindl after changes become effective constitutes your acceptance of the updated Privacy Policy.
